In Contractor Management, there are two ways to add contractors. The first is the traditional method of using the ‘Add Contractor’ form. The second, more streamlined method allows you to bulk upload both contracting companies and their employees or admin contacts through dataloading. This feature is ideal for adding large numbers of contractors at once, significantly reducing manual entry time.
How to Access Dataloading:
- Navigate to the Control Panel
- Select ‘Dataloading’
- Download the relevant dataload templates
We’ve introduced two new data categories: Contractors and ContractorContacts.
Dataloading Contractors:
The ‘Contractors’ template is used to upload contracting companies. The following fields are required:
- Site
- Record Type (Contractors)
- Contractor Name
Optional fields include address details such as Address, City, State and Zip Code. Once the contractors are loaded, they will appear in your Contractor Management Dashboard marked as ‘new’ until admin contact information is added, and the admins log into their portal.
Dataloading Contractor Employee and Admins:
Once contractors are in the system, use the ContractorContacts template to upload contractor employee or admin contracts. The required fields are:
- Site
- Record Type (ContractorContacts)
- Contractor ID
- isAdmin (indicates if the contact is an admin)
Optional fields include First Name, Last Name, Email and isAssignedTrainings. The Contractor ID can be found by exporting contractor details from the Dashboard. Note that dataloading is the only method for you, as a KPA customer, to bulk upload contractor employees. However, contractor admins can add employees directly through their portal.
This enhanced dataloading process simplifies the onboarding of contractors and their teams allowing you to manage everything more efficiently.
